Two decisions that can be combined almost freely. The functionality is the same in every variant, the difference is when you pay and who runs the server.

With a host specialised in SAP Business One; we work with Cloudiax and iSystems. Backup, monitoring and updates are included; server size and extras such as extended backups come on top. Minimum 3 users.

Running costs after go-live

On subscription, maintenance and updates are included in the monthly price; with perpetual licences, 21 percent of the licence total is added each year. Our support is available on a time basis or as a support package with included hours and committed response times. More under Support.

All prices net, excluding VAT. Additional hours beyond the quota are billed by time and material, less the discount shown for your package. The add-on discount applies in the Plus and Premium packages to our own products (AbgrenzungPro, PayrollPro, PayrollImport, ClockodoConnect, Validation Guard, RC.AI, RC.MCP) on the licence price. Service hours Monday to Friday 08:00 to 17:00 CET, excluding public holidays in Lower Saxony. Target response times apply within service hours and count as met when reached for at least 90 percent of reports in a quarter. Response time means the first qualified reply by a consultant, not a resolution time. Monthly payment, minimum term 12 months.

What drives the price

When two quotes are far apart, it is almost never the licence. It is these points, and whether they appear in the quote at all. Our quotes include all of them.

Data migration
Master data is manageable. It gets demanding with open items, serial numbers, grown item structures and poor data quality in the legacy system.
Interfaces
A standard connection to a web shop or bank is routine. A custom interface to a specialist system is development work and costs many times more.
Process complexity
Several companies, foreign currencies, consignment stock or batch management increase the effort considerably. Pure trading is set up faster.
Customisation
Every deviation from the standard makes the implementation and every later update more expensive. That is why we first check whether the standard covers the requirement.
Your own time
An implementation needs key users from accounting, purchasing and the warehouse who decide and test. Expect several days per key user over the course of the project.
The weeks after go-live
Live operation brings questions and follow-up work. With us, a hypercare phase is part of the project, more under SAP Business One implementation.

Frequently asked questions about costs

What does SAP Business One cost per user?
A Professional user costs 2,700 EUR to buy or 91 EUR per month on subscription (73 EUR from 21 users, 64 EUR from 51 users), a Limited user 1,400 EUR or 47 EUR per month. The Starter Package is 1,140 EUR or 38 EUR per month and is limited to five users. On subscription the minimum is three users. All prices net, excluding VAT.
What does an SAP Business One implementation cost in total?
Four fully worked examples: five workplaces on the Starter Package in the cloud cost 13,200 EUR one-off for the implementation and 644 EUR per month for licences and hosting. Ten workplaces on your own server come to 61,040 EUR one-off, of which 35,000 EUR is the fixed-price implementation, and 1,041 EUR per month for maintenance and Support Basic. 25 workplaces on HANA come to 104,035 EUR one-off and 2,266 EUR per month, 50 workplaces on HANA to 184,760 EUR one-off, of which 85,000 EUR is the fixed price, and 3,101 EUR per month, each with Support Plus. All amounts net, volume discount already deducted.
Buy or subscribe: which is cheaper?
Over the first three to four years the subscription is usually cheaper, after that it turns. One point narrows the choice: subscription licences may only be run in the cloud, that is SAP's rule. Perpetual licences run either in your own network or with a hosting provider. Buying pays off if you plan long term and want to depreciate the investment, and it is the only option if the system is to run in your own network. Subscribing suits you if you want to protect liquidity, keep the number of users flexible and not deal with hardware. We always calculate both options side by side for you.
Can I run subscription licences on my own server?
No. SAP only allows subscription licences when the system is operated by a certified cloud hosting provider. If you want to run the system in your own network, you need perpetual licences. The other way round there is no restriction: perpetual licences run just as well in the cloud. So three of the four possible combinations work, only subscription on your own hardware does not.
Which running costs come after the implementation?
With perpetual licences, 21 percent maintenance per year, plus hosting or server operation. With a subscription, maintenance and updates are already included in the monthly price. Our own support is available on a time basis or as a support package from 620 EUR per month, with included hours, target response time, a discount on additional hours and, depending on the package, installation of feature packs and a discount on our add-on licences.
Are there hidden costs?
Not with us, but there are items many quotes leave out: data migration, interfaces to existing systems, training and the effort of your own team during the project. All four are in our quotes, because otherwise they turn up as change requests during the project.
What does SAP Business One cost in the cloud?
Hosting starts at 50 EUR per user and month, including backup, monitoring and updates. It is operated by a specialised SAP hosting provider, we work with Cloudiax and iSystems. Depending on server size and extras such as extended backups or two-factor authentication, a little more is added. The licence is not included. You do not need any hardware of your own.
Do I need a separate database licence?
The subscription includes the HANA runtime, because the system runs at the cloud hosting provider. When buying, it depends on whether you use SAP HANA or Microsoft SQL Server. We clarify this before the quote so there are no surprises.
Why do other SAP partners not publish prices?
Because every project is tailored differently and a single figure is easily misunderstood. We still think that is the wrong approach: you can name an order of magnitude without making an offer. That is exactly what we do here.
