The backend is the centre

Permissions live where your SAP permissions live

RC.AI hangs in the SAP authorisation tree as its own branch - in the same place where you maintain every other permission. Per user or group you decide separately about usage, read queries, creating and changing documents, processing incoming invoices and administering the assistant.

No second permission system, no parallel maintenance. Anyone who cannot create anything in SAP cannot do it through RC.AI either.

Payroll and financial data do not belong in a US data centre. RC.AI is built so you never have to make that trade-off.

AI model in Germany

For EUR 15 per user/month, RConsult provides an AI model hosted in Germany: language processing exclusively in Germany, no third-country transfer, your data is never used for model training - data processing agreement included.

Data minimisation

Only the specific request and its result go to the AI model - never your database. The backend itself runs inside your network anyway.

Traceability

The audit log records who performed which action and when - message content and data deliberately are not stored.

Maximum level: fully on-premise

Which SAP functions can RC.AI handle?
RC.AI ships with over 40 specialised tools: search business partners, contacts, and items, create and link quotations and orders (a quotation becomes an order with a real SAP document reference), check stock and open items, create service calls, process incoming invoices, and generate reports. Beyond that, the assistant has generic access to over 250 additional SAP objects - including custom tables and fields.
Can RC.AI process incoming invoices from PDF files?
Yes, that is one of its core capabilities. You hand over the invoice as PDF, Excel, or CSV via drag and drop. RC.AI identifies the supplier (by name or VAT ID), matches against existing purchase orders and goods receipts, assigns item and service lines including German tax codes, checks for duplicates, and creates the document as a draft (parked document) in SAP. Approval always stays with you.
Is my data safe?
Every user works under their own SAP login - RC.AI only sees what that user is allowed to see according to their SAP authorisations. In addition, a dedicated RC.AI authorisation tree in SAP controls per user who may read, write, or process incoming invoices. An audit log records all actions - deliberately without message content. For the AI backend you choose: a model hosted by RConsult in Germany (no third-country transfer, your data is never used for model training), your own cloud account, or a fully local model inside your network.
Do I need SAP HANA for this?
No. RC.AI works with SAP Business One on both HANA and MS SQL Server. The only requirement is an active Service Layer.
How is RC.AI installed?
In the SAP Business One WebClient as an extension rolled out centrally via the SAP Extension Manager - no installation on individual workstations. In the classic SAP client as an add-on with single sign-on through your SAP login. The Telegram access is set up in a few minutes. The RC.AI backend is installed on or next to your SAP server - we take care of the setup.
What does RC.AI cost?
The perpetual licence costs EUR 380 per named user (plus 21% annual maintenance), the rental licence EUR 19 per user per month. Add a one-off setup fee of EUR 1,490. Optional: an AI model hosted by RConsult in Germany for EUR 15 per user/month - alternatively you use your own API key or a local model.
How does the licence model work?
Licensing is per named user - 1:1 with your SAP Business One user licences. Every licence includes the full feature set; there are no feature tiers. What an individual user may do (read only, write, process incoming invoices) is controlled through SAP authorisations.
Which AI models are supported?
Anthropic Claude, OpenAI, or self-hosted models via Ollama. You have three options: a model hosted by RConsult in Germany (EUR 15 per user/month), your own API key with Anthropic or OpenAI, or a local model inside your network - in which case your data never leaves the building. Document processing (PDF analysis) currently requires Anthropic Claude.
What can AI concretely do for my company in an ERP system?
In the case of RC.AI: create documents using natural language, process incoming invoices from PDFs, query master data, check open items, run reports - without clicking through menus. This saves time on routine tasks and makes SAP functions accessible even to employees who do not work deeply in the system.
Is AI in ERP mature or still experimental?
AI in ERP is no longer an experiment, but it is not a magic bullet either. RC.AI reliably handles concrete, well-defined tasks (creating documents, querying data, processing incoming invoices). It does not replace a consultant and does not make autonomous decisions - posting-relevant documents are created as drafts, and approval stays with a human.
Do I need clean data before I can use AI in the ERP?
Not necessarily for RC.AI. It works with the data in your SAP - it returns what the Service Layer delivers. If your master data has gaps, that will show in the responses too. But you do not need a data cleanup project before getting started.
Will SAP Business One get its own AI features?
Yes. The SAP roadmap announces GenAI features in the Web Client (Ask GenAI, document extraction for incoming invoices) as well as opening Business One up to AI agents via open-source MCP servers. SAP relies on SAP BTP and AI Core in the cloud - and explicitly on partners to deliver the AI value. That is exactly where RC.AI stands: available today, also in the classic SAP client and on MS SQL, with a free choice of AI backend all the way to fully local - instead of a hard-wired SAP cloud.
SAP is planning an open-source MCP server for Business One - what does that mean for RC.AI?
It confirms our architectural approach: AI agents access SAP through clearly defined tools - exactly how RC.AI works today, and with RC.MCP we already offer a production MCP server for SAP Business One. As soon as SAP's MCP server becomes available, RC.AI can connect it as an additional tool source. You are investing in the direction SAP itself has taken - you are just two years earlier.
Can I use RC.AI on the go?
Yes, via Telegram. You can run queries, create documents, and pull up reports from any device - even by voice message: RC.AI transcribes it automatically and executes the request. You can also hand over PDF invoices straight from your smartphone.
